The role involves managing logistics for both domestic and international trips, which includes creating detailed itineraries, agendas, directions, and backup materials. The individual will also be responsible for preparing expense reports promptly, ensuring accuracy, and submitting them in accordance with Firm policy. Key responsibilities include:
- Managing and monitoring executives' calendars, anticipating potential issues, and addressing them proactively.
- Scheduling and coordinating meetings and executive events, informing attendees of dates and times, reserving meeting spaces, and ensuring the availability of necessary equipment and materials.
- Liaising with portfolio organizations, investors, guests, and all personnel in a professional and courteous manner, adhering to the company's culture and values.
- Maintaining discretion and professionalism, especially regarding the confidential nature of the firm's business.
- Acting as a team player by supporting colleagues and the firm, and offering help proactively.
Requirements
- 8 years of experience as an Executive Assistant; a college degree is required.
- Knowledge of the financial industry is highly desirable.
- Excellent writing, editing, and verbal communication skills.
- Advanced computer skills using Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook, with the ability to quickly and accurately produce/edit Excel spreadsheets and PowerPoint presentations.
- Research savvy with extensive experience using online resources.
